Although OTTIAQ’s member translators, terminologists and interpreters provide quality services, there’s always a chance they may make a mistake or fail to fulfill their professional duties. In such cases, you have recourse. You can request an account conciliation and arbitration procedure or file a complaint with OTTIAQ’s syndic, who has the power to investigate a member’s behaviour.

Account conciliation and arbitration

If you have a dispute with a member of OTTIAQ concerning the amount of an invoice for professional services, you can file a written request for conciliation with the syndic at syndic@ottiaq.org

If the invoice has not been paid, you can submit your request to the syndic at any time, provided that the member concerned has not instituted proceedings to recover the amount.

If the invoice has been paid in whole or in part, you must submit your request to the syndic within 45 days of the date on which you received the invoice.

Complaint to the syndic

If you deem the quality of the professional services provided by an OTTIAQ member to be unsatisfactory, we suggest discussing the matter openly and respectfully with the person involved. Giving your service provider the chance to offer explanations and answer your questions often helps clear up the situation and resolve the dispute.

If the dispute cannot be resolved and you wish to request an inquiry, you can file a complaint with OTTIAQ’s syndic.

Please note, however, that a request for inquiry is not the appropriate recourse for seeking financial compensation.

How to file a complaint and what happens next

Review Committee

The function of the Review Committee is to give, upon request, an opinion regarding a decision of the syndic not to file a complaint against a professional with the Disciplinary Council.

The Board of Directors appoints three members to the Review Committee. At least one of them must be chosen from among the directors appointed by the Office des professions du Québec or from among the individuals whose names appear on the list that the Office may compile for that purpose.

You must submit your request to the Review Committee Secretary within 30 days of receiving the syndic’s decision. The Review Committee must inform you of your right to submit comments at any time before issuing its final opinion.

The Review Committee issues its opinion in writing within 90 days of receiving the request, after examining all the documents in the file submitted by the syndic and hearing from the syndic and you, if necessary.
